Rally Yard ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect when you use our website (rallyyard.co.uk), join our waitlist, become a member, book a court, or otherwise interact with us, and how we look after it.

This policy is written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

Rally Yard is a padel club based at:

We are the "data controller" for the personal data described in this policy.

2. What personal data we collect

We collect different data depending on how you interact with us:

Joining our waitlist

  • First name, last name, email address

Contacting us (by email or any contact form on the site)

  • Name, email address, phone number (if you provide it), and the content of your message

Becoming a member or booking a court (via our booking platform, Playtomic)

  • Name, email address, phone number

  • Date of birth (where relevant, e.g. for junior coaching or age-restricted sessions)

  • Payment information (processed securely within Playtomic's platform; we do not store or have access to your full card details)

  • Booking history, attendance, and court usage

Visiting our venue

  • CCTV footage of the venue, for security and safety purposes

  • Automated entry/pin access logs (to control and record access to the club)

Using our website

  • Technical data such as IP address, browser type, and device information, collected via cookies and similar technologies (see section 8)

  • Any data you submit through website forms

3. How we use your data and our legal basis

You can withdraw consent at any time (for example, unsubscribing from waitlist or marketing emails using the link in any email, or by contacting us directly).

4. Who we share your data with

We share data with trusted third parties who help us run Rally Yard. We only share what's necessary for them to provide their service, and we have agreements in place requiring them to protect your data:

  • Playtomic — our court booking and membership platform, used to manage bookings, membership records, and payments (including card payment processing)

  • Squarespace — our website hosting provider, which processes data submitted through website forms and provides built-in website analytics

  • Professional advisers (accountants, lawyers) and regulators, where required

  • Law enforcement or other authorities, where required by law

We do not sell your personal data to third parties.

Some of these providers may process data outside the UK/EEA. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or an adequacy decision.

5. How long we keep your data

  • Waitlist data: until launch, or until you unsubscribe, whichever is sooner, after which it is deleted unless you become a member

  • Membership and booking records: for the duration of your membership plus [6 years] afterwards, to meet accounting and legal obligations

  • CCTV footage: typically retained for [30 days] unless needed for an ongoing investigation or incident

  • Contact/enquiry data: for as long as reasonably needed to resolve your query, then deleted or anonymised

We periodically review the data we hold and delete what we no longer need.

6. Your rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you

  • Rectify inaccurate or incomplete data

  • Erase your data ("right to be forgotten"), in certain circumstances

  • Restrict how we use your data

  • Object to certain processing, including direct marketing

  • Data portability — receive your data in a portable format

  • Withdraw consent at any time, where we rely on consent

7. Children's data

Our club welcomes junior players in coaching sessions. Where we collect data about a child (under 18), we do so with the consent of a parent or guardian, and only what's necessary to deliver coaching or manage bookings safely.

8. Cookies and similar technologies

Our website uses cookies to:

  • Make the site function correctly

  • Understand how visitors use the site, using Squarespace's own built-in analytics

We do not currently use any third-party analytics or advertising tools (such as Google Analytics or Meta Pixel). If this changes in future, we'll update this policy and our cookie banner accordingly.

You can control cookies through your browser settings. Blocking some cookies may affect site functionality.

9. Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, including restricting access to personal data to those who need it and using reputable, secure third-party platforms.

10. Changes to this policy

We may update this policy from time to time, for example as our services develop or the law changes. The "last updated" date at the top shows when it was last revised. We'll post significant changes on this page.
